Senior Administrative Support Specialist

If you are passionate about helping children reach their full potential, please apply!  BBBSLC is seeking an experienced Senior Administrative Specialist to help run the administrative office at its new headquarters at 1270 Abbe Road North across from LCCC.  Reporting to the CEO, the ideal candidate will be a friendly, outgoing, flexible, people-person who enjoys interacting with a diverse constituency.  This person must be highly proficient in technology, advanced clerical and administrative duties, constituent management, inventory control, fiscal and human resource support and events management. 

Among some of your key duties include:

·         Provide a wide variety of advanced clerical and administrative duties; relieving leaders of selected administrative work and minor business detail. 

·         Directly manage and oversee job responsibilities of the other administrative assistant support including Vantage employees, and the Administrative Specialist. 

·         Proficiently operate computer(s) and copier; perform printing, scanning, photocopying, data assembling, binding, emailing, and other messaging duties.

·         Assist in projects using Teams, Outlook, Word, Excel, Powerpoint, Zoom, Constant Contact and more.

·         Assist the CEO with donor operations by providing oversight to donor management processes using Donor Perfect and GiveSmart. 

·         Oversee the gift acknowledgement process as well as invoicing, collections, and gift processing in a timely way. 

·         Work with the CEO to keep the website up-to-date and disseminate a monthly electronic newsletter. 

·         May answer and screen CEO and Program Director telephone calls including confidential inquiries.

·         Coordinate and arrange agency and department meetings; prepare meeting agendas, materials; reserve and prepare facilities if required. 

·         Greet scheduled visitors.

·         Organize and maintain a paper and digital file system and archives; file correspondence and other records; oversee record retention.   

·         Maintain up-to-date mailing and emailing lists of community partners and stakeholders: faith-based community, businesses, corporations, organizations, individuals, nonprofits, elected officials, school officials, and others.

·         Assist the CEO and Program Director with arrangements for BBBSLC fundraising events, Little and Big events, family engagement and parent development activities, and seasonal events benefitting children and youth including the Back to School Outing, Kite Day, Bowl for Kids Sake, the Holiday Party, and more.

·         Assist the Program Director with some programmatic operations including data entry, schedule coordination, conducting reference and fingerprint background checks for volunteers, and supporting prospective volunteers through the enrollment process.   

·         Provide oversight to department inventory control, working with the Director of Programs to account for signed out equipment and ensuring timely department purchasing.   

·         Provide fiscal and human resource support to the CEO and Program Director including: maintaining confidential employee files and managing some payroll needs and processes; track and resolve problems related to fiscal operations.  

·         Provides supervision for the agency’s Reception Area, as well as shared resources including the Hallway, Copy Room, Conference Room, and Classrooms.

·         Other duties as requested by the CEO.   

The annual salary for this full-time twelve-month position is between $40,000 - $45,000.00 (based on experience) to be paid every two weeks. In addition to this salary, a monthly reimbursement of up to $500 per month upon proof of purchase is offered to help cover the cost of healthcare.  As an employee of Big Brothers Big Sisters of Lorain County, you are also eligible for other benefits that include a SIMPLE IRA plan, a disability insurance program through AFLAC, 10 days of accrued vacation time, and up to 12 sick days (after a three-month probationary period) based on proportionate monthly accrual.

Big Brothers Big Sisters of Lorain County also observes the following paid legal holidays. Should a holiday fall on a Saturday, it will be observed the preceding Friday. If it falls on a Sunday, it will be observed the following Monday.  Holidays include: New Year’s Day, Martin Luther King Day, President’s Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving Day and the following Friday, Christmas Eve, Christmas Day.  The week between Christmas and New Years Day is also considered a holiday.
